Phase 5

During the launch phase, the team implements the project and begins seeing results. All the development work is complete—the necessary documents have been created, the software written and tested, the necessary updates with the project sponsor are accomplished. The project goes “live.”

What’s Happening at Phase 5?

For the Project—Launch

During this phase of the Co-Create model, team members conduct the training or implement the communication plan with all stakeholder groups. They act as go-to people for questions and answers, keep an eye on how the implementation is going, and address any unanticipated issues or unintended consequences. The team meets to discuss progress and course corrections, but only as needed (they no longer have weekly meetings).

For the Team—Performing

Team members co-deliver training and present a cohesive cross-functional front. They are using inclusive language demonstrating ownership. Like a proud artisan they generate positive energy for the change and act as ambassadors for the work that needs to be done. They listen and gather important information from users to feed the fine tuning phase.

For Individuals—Trying Out

Since team members are often also users they are actively using the new approach, tools, or work process. This is an important source of fine tuning information and also reinforces their credibility with their peers.

Pitfalls to Avoid

The most common pitfall we’ve experienced at this phase of the project is failing to spend the time needed to help team members prepare to communicate the change and conduct training programs. They must be comfortable and prepared since the credibility of the solution could be negatively impacted by lousy training. The team facilitator works with the team to practice presentations and pilot the training using the team as guinea pigs. The facilitator will also provide individual coaching or partner with the training department to ensure that team members are prepared and confident. Practice sessions also help ensure that the supporting documentation is complete and user friendly.

Considerations for Project Sponsors and Owners

Change occurs when conversations for the change outnumber and outweigh conversations for the old way. Leaders should support the change and improve its success by communicating about the change often. Clarify what’s at stake and how this change aligns with the organization’s strategies. Encourage open dialogue about the implementation and any setbacks that occur.

Conclusion

The team is ready to move on to the final phase of the Co-Create model once the change plan has been implemented and training or testing has been completed.
