Time for action - exporting reports

Let us see how we can export reports and charts in HTML format and open them in popular spreadsheet applications:

  1. As the first step, create or open the report that you want to export.
  2. From the menu select File | Export | Export Report. The Save HTML To File dialog will open.
  3. Select the folder where you want to save this exported report. Give it a file name with the extension .html and click Export:

  4. OpenOffice.org Calc spreadsheet: Click on the A1 cell in the top-left hand corner of the spreadsheet. From the menu, select Insert | Link to External Data. Click on the ellipsis next to the URL of the external data source field and select the HTML file from the folder where you saved it. In the Available tables/ranges, select HTML_all and click on OK. The report will appear in the spreadsheet.
  5. Microsoft Excel: Select File | Open and select the HTML file from the folder where you saved it. This is the same Transaction Report that you will see in GnuCash. It lists transactions from all the accounts that occur within a date range. The transactions are grouped by accounts. However, it is now formatted making use of the spreadsheet features, as shown in the following screenshot:

What just happened?

HTML is an open standard used for creating web pages. The ability to export the data in a standard format such as HTML allows you to use external applications for further formatting and for printing that report.

Shortcut for exporting a report to OpenOffice.org Calc

With the report open in GnuCash, you can click and drag the mouse to select all text. Simply paste it into Calc. The Text Import dialog will open. Click on OK and the report data will be imported into Calc.

If you export a chart to an HTML file format, it cannot be opened in spreadsheets. This is because it is an image file, not tabular data. However, it can be opened in a browser such as Firefox or Microsoft Internet Explorer. If you do want the tabular data, try the Show Report option in the charts. That can be opened in the spreadsheets.
