Using the Group tab of the Contact Detail view

So far in this chapter we've been looking at several contacts as they relate to a Group. After all, by definition a Group is composed of more than one Contact record. However, there are times when you want to hone in on an individual Contact record to see which Groups he's a member of and/or add him to a Group if necessary.

As you start to become more and more familiar with ACT! you start to realize that ACT! supplies you with all the functionality that you could ever ask for. By accessing the Group tab in the Contact Detail view you can instantly see exactly which Groups the current Contact is a member of. And, more importantly, you can easily add that Contact to a Group if necessary.

Getting ready

You'll start by creating a Group or two; you can even populate them following the recipes earlier in this chapter.

How to do it...

  1. Navigate to the Contact you'd like to add to a Group—or just see which Groups the Contact belongs to. As you can see in the following figure, any Groups of which the Contact is a member will be listed:

  2. Click the Groups/Company tab and then click the Add/Remove Groups button. The Add/Remove... dialog window that you see in the following figure will appear:

  3. Select a Group name from the list in the left pane and then click the single right-pointing arrow to move it to the right pane. If you want to add a subgroup click the + sign to expand the main Group.
  4. (Optional) Click the View Drop-Down and choose Groups List. The Groups List view provides you with two additional benefits:
    • All Groups and subgroups will be listed without having to expand them
    • You can type a Group name in the Find box and the cursor will automatically select the name of a Group that matches your search criterion
  5. Repeat step 3 to add more Groups if necessary (optional).
  6. Click OK to close the Add/Remove dialog window.

How it works...

The Group you add in step 4 will now appear on the Group tab.

There's more...

As intuitive as ACT! is at times, sometimes some of the functions are a bit quirky. This is especially true of the Groups/Company tab.

Working with the Group/Company tab

You notice that the name of the tab is Groups/Companies because, as the name implies, the tab is somewhat of a "one size fits all" tab that shows both the Groups and the Companies that a Contact belongs to. If you'd rather view the Companies that a Contact belongs to you'll need to click the Show for: drop-down on the Groups/Companies tab and choose Companies and Divisions.

Any Dynamic Groups that a Contact belongs to will not display on the Groups/Companies tab. If you want to see the Dynamic Groups listed along with the static ones, you'll have to click the Show Dynamic Membership button on the Groups/Companies tab. At that point the Dynamic Groups Membership will appear like the one you see in the figure below. However, as soon as you click Close the information will disappear.
