Working with Proofing Tools

Microsoft has improved the proofing tools across the 2007 Microsoft Office system. One item worth reviewing for PowerPoint 2007 is the contextual spelling option. If you have ever made a mistake such as "I will go their" and caught it only in front of an audience, then this will be a useful tool for you.

Basic typos are forgivable in most settings; misuse of grammar isn’t. Contextual spelling helps find and fix this kind of error, letting you know the sentence should use "there" instead of "their." Because the Microsoft Office system clears the contextual spelling check box after installation if your system has less than 1 gigabyte (GB) of random access memory (RAM) available, you’ll want to verify this feature works on your system. Figure 17-4 shows an example of the menu you see when you are proofing a presentation.

To add contextual spelling and alerts to PowerPoint 2007, follow these steps:

  1. Click the Microsoft Office Button, and then click PowerPoint Options.

  2. Select the Proofing category.

  3. Under When Correcting Spelling In PowerPoint, select the Use Contextual Spelling check box.

  4. Be sure the Check Spelling As You Type check box is selected. If it isn’t, the wavy red line that alerts you to a potential spelling error will not appear.

  5. Click OK.
