Working With Network Files

Now that you know how to open shared drives and folders from across the network, you can start using the files you find there. Fortunately, there's nothing much to it:

At the Desktop

When you're working at the desktop, you can double-click icons representing the files and folders in a network share to open them, drag them to the Recycle Bin, make copies of them, and otherwise manipulate them exactly as though they were icons on your own hard drive (depending on the permissions you've been given, as described in page Section 13.4.3). Chapter 5 contains much more detail on manipulating files.

Caution

There's one significant difference between working with "local" files and those that sit elsewhere on the network: When you delete a file from another computer on the network, the file doesn't go to the Recycle Bin. Instead, it's deleted immediately and permanently; you can't undo the action or recover the file from the Recycle Bin.

Inside Applications

When you're working in a program, opening files that sit elsewhere on the network requires only a couple of extra steps:

  1. From within the program, choose File Open.

    The Open File dialog box appears.

  2. From the "Look in:" drop-down menu, choose My Network Places.

    You see a display of the same icons that would normally appear in the My Network Places window.

  3. Double-click your way to the folder containing the file you want to use.

    In other words, open the Entire Network icon, then the Microsoft Windows Network icon, a domain or workgroup icon, a computer icon, a share icon, and so on, until you arrive at the file that you want to open.

  4. Double-click the file you want to use.

    The file opens. You can work on the document just as if it were sitting on your own computer.

At this point, using the FileSave command saves your changes to the original file, wherever it was on the network (if you've been given permission to make changes). You can also choose FileSave As to store a copy of the file on your own computer.
