Scenario 4 – configuring relevance search

Lisa is right now consulting with Jim, the process improvement manager at Acme Ltd. Jim wishes to improve the way users in the organization can search CRM data for certain important entities, such as Account, Contact, and so on. Lisa starts researching on the options available in CRM 2016 online to improve the search functionality.

Right now, when users in the CRM system search for data, for example, by the datum keyword to locate a datum account, the search yields no result, as you can see in the following image:

Lisa can perform the following steps to sort this out. Please note that Relevance Search is only applied to the Microsoft Dynamics CRM 2016 Online version. Relevance Search returns search results sorted by relevance, in a single list. Categorized search returns search results grouped by entity types, such as Accounts, Contacts, or Leads:

  1. Navigate to Settings | Administration | System Settings:
  1. Under the General tab, select the checkbox for Enable Relevance Search and click OK:
  1. Once you select OK and enable it, navigate back to the Settings | Customize the System | Configure Relevance Search button on the Entities component:
  1. Select the entities including Account and click OK:
  1. For configuring the fields that can be used in Relevance Search for the entity, the configuration needs to be done under the Quick find columns. For this, navigate to Account | Views, double-click on the Quick Find Active Accounts view, and select the Add Find Columns option:
  1. On the field selection window, select all the relevant fields available:
  1. Save the entity customization and publish them.

Now to see relevance search in action, click the search icon available on the top of your CRM options:

This time around, searching for the keyword datum yields detailed results, improving the search functionality for Acme Ltd:

Optionally, users can navigate to Personal Settings by clicking the icon available in the top-right corner of the CRM screen and select Options:

Here, under General settings, the users can choose to change their search experience.
