Working with Project Tasks

To track the individual tasks related to each Business Project, the Project Tasks form provides the means to store key information related to each task. You can start a new Project Task form by selecting the Project Tasks folder (or selecting the Business Contact Manager menu and choosing Project Tasks) and then double-clicking an empty line in the Project Tasks folder. You can also create a new Project Tasks form by clicking the New Project Tasks in the Projects page of the Business Contact Manager default page.

You begin monitoring a Project Task by defining the task name in the Subject field and specifying the representative that it is assigned to (see Figure 19-22). Next, you link the task (in the Linked Project section) to the Business Project that the task is related to, so that all related Project Tasks are displayed in the appropriate Business Project. You then modify the Project Task Settings to reflect the operational requirements for the specific task, including the Start Date, Due Date, Status, and % Complete fields. There is also an Attention Required field, which is particularly useful when sorting Project Tasks, enabling you to sort those tasks that require attention to the top of the list. In addition, you can set the Project Task Priority as well as setting the time for a Reminder. The Comment field provides a place to collect the salient details about each task, specifying details that help you manage or complete the task.

The Details page of the Project Tasks form further supports task monitoring and billing efforts by enabling you to track the following fields:

  • Date Completed. The date on which the task-related work is finished

  • Total Work. The total amount of time that completing the task required

  • Actual Work. The amount of time considered billable for the task

  • Mileage. The amount of mileage accrued in completing the task
