Viewing Notes

Outlook 2007 provides five predefined views for the Notes folder. To switch to a different view, choose View, Current View. You can use any of the following predefined views:

  • Icons. This default view displays an icon for each note with the first line (25 characters) of the note text serving as the icon’s description.

  • Notes List. This view displays the notes as a line-by-line list showing the entire contents of the note (with AutoPreview on).

  • Last Seven Days. This view is similar to Notes List view and displays the entire contents of the notes (with AutoPreview on), but only those notes created or modified within the past seven days, based on the current date.

  • By Category. This view groups the notes as a list by their assigned categories and displays the first line of text in each note. If more than one category is assigned to a single note, the note appears in each category group.

  • Outlook Data Files. This view groups the notes as a list by their associated Outlook 2007 data file and displays the entire contents of the note (with AutoPreview on).

You can use the Reading Pane with the Notes folder (choose View, Reading Pane, and then choose Right or Bottom) to display the text of a note when you click the note. When you use Notes List view, Last Seven Days view, By Category view, or Outlook Data Files view in the Notes folder, you can also use AutoPreview, which automatically displays the contents of each note in the list. AutoPreview can be turned on or off by right-clicking in the Notes folder and selecting or clearing the AutoPreview option. In addition, AutoPreview options as well as font type, size, and color can be set in the Other Settings dialog box (right-click in the Notes folder and then choose Other Settings).

You can customize any of the views in the Notes folder the same way you customize the standard views in other folders. You can, for example, drag columns to rearrange them, resize columns, change column names and other properties, add other fields, and group notes based on various criteria.

Note

For details about creating your own custom views, see Chapter 27.
