Adding Bill to and Ship to Addresses to a Quote

Many customers (especially larger companies) will provide two different addresses—a billing address and a shipping address—when they place orders with your organization. You can enter different bill to and ship to information for each quote in Microsoft Dynamics CRM. Creating a quote for a customer does not automatically populate the bill to and ship to information; you must explicitly assign the bill to and ship to addresses to the quote.

To assign the bill to and ship to address information, you choose one of the addresses linked to the customer. However, one thing you might not expect is that you cannot select the address listed on the account or contact form. You must choose one of the More Addresses records linked to the account or contact. When you’re adding a bill to or ship to address to a quote, ensure that the customer record includes at least one address record in the More Addresses view. You can create, view, and update the address records for an account or contact by clicking the More Addresses link in the left navigation pane of the account or contact record.

In this exercise, you will assign bill to and ship to information to the sample quote you created in the previous exercise. Because the Sonoma Partners account attached to this quote does not have any addresses in the More Addresses view, you will need to create an address record for the account first.

USE the Sonoma Partners account record you created in Chapter 3. If you cannot locate the Sonoma Partners account record in your system, select a different account record for this exercise.

BE SURE TO use the Internet Explorer Web browser to navigate to your Microsoft Dynamics CRM Web site before beginning this exercise.

  1. Navigate to an account view, and open the Sonoma Partners account.

  2. In the left navigation pane, click More Addresses.

  3. In the grid toolbar, click the New Address button.

    A new window opens.

  4. In the address record, enter the following values:

    Address Name

    Global HQ

    Street 1

    525 W. Monroe St.

    Street 2

    Chicago

    State/Province

    Main Phone

  5. For Shipping Method, select DHL. For Freight Terms, select No Charge.

  6. In the Address Contact field, enter Mike Snyder.

  7. In the form toolbar, click the Save and Close button.

  8. In the left navigation pane of the Sonoma Partners account, click Quotes, and then double-click the sample quote you created in the previous exercise.

  9. Click the Addresses tab to confirm that the quote does not currently contain any bill to or ship to information.

  10. In the quote toolbar, click the Look Up Address text.

    The Look Up Address dialog box opens.

  11. Select the check boxes next to Bill To Address and Ship To Address.

  12. Under Select an Address, click the Look Up button.

    The Look Up Records dialog box opens.

  13. Select the Global HQ address, and click OK.

    The Look Up Address dialog box displays the Global HQ address.

  14. Click OK.

  15. On the quote record, click the Addresses tab.

    Microsoft Dynamics CRM populates the Bill To and Ship To data fields with data from the address you selected.

  16. Click the Shipping tab.

    Microsoft Dynamics CRM updates the Shipping Method and Freight Terms lists with the matching values from the Ship To address.
