Key Points

  • Microsoft Dynamics CRM includes quotes, orders, and invoices; however, Microsoft designed the invoice and order records to integrate with back office systems. The invoice and order functionality in Microsoft Dynamics CRM will not replace a financial system with out-of-the-box functionality.

  • You can link one or more quotes to an opportunity or create a standalone quote.

  • Microsoft Dynamics CRM creates new quotes in Draft status. You should activate them upon presentation of the quote to the customer.

  • If you want to add bill to and ship to addresses to a quote, you must first ensure that the account or contact record attached to the quote has at least one record in its More Addresses section.

  • You can add products to a quote from an existing opportunity, manually add existing products, or create your own write-in products when attaching products to a quote.

  • The quote total amount is the sum of the products attached to the quote minus any discounts, taxes, and other charges.

  • After activating a quote, you can close it, revise it, or create an order.

  • Microsoft Dynamics CRM includes a Quote For Customer Mail Merge template that you can use as a starting point to create your own printer-friendly quote.

  • When you close a quote or create an order, Microsoft Dynamics CRM can automatically close the related opportunity at the same time, if applicable.
