Analyzing Access Data in Excel

The power of Access is its ability to extract information from, and look at relationships in, sets of data. The power of Excel is its ability to easily perform statistical and other types of analyses on sets of data. You can combine the power of both programs by gathering a data set in Access and then analyzing it in Excel. You can use either a table or a query as the source of the data you send to Excel, but, if you use a query, you’re using the power of Access to customize your data set before you export it.

Analyze Your Data

  1. In Access, open the item you want to export if it isn’t already open, and click it to select it. If you want to export only selected records, select them.

  2. On the External Data tab, click the Export To Excel Spreadsheet button.

  3. In the Export Wizard that appears, specify whether you want to include formatting with the data; whether you want Excel to open with the data; and, if you selected certain records, whether you want to export only the selected records. Click OK, and on the Save Export Settings page of the Export Wizard, specify whether you want to save the Export settings. Click Close.

  4. In Excel, use any of the powerful functions to conduct your statistical or other analysis of the data.
