Using Word to Prepare PowerPoint Text

When you’re developing a PowerPoint presentation, you’ll find that preparing the text (but not content such as tables and pictures) in Word and then sending it to PowerPoint is the easiest and most flexible way to go. You can take advantage of Word’s multitude of features to create exactly the look you want for the text of your presentation. As you create your document in Word, you can use the heading styles to tell PowerPoint how you want the information to be interpreted.

Create the Presentation

  1. In Word, create the outline for the presentation, using styles that have the following outline levels assigned to them:

    1. Outline Level 1 (such as Heading 1) for a slide title

    2. Outline Level 2 (such as Heading 2) for the text on the slide

    3. Outline Level 3 (such as Heading 3) for second-level text under Outline Level 2 text

    4. Outline Levels 4 through 9 for third- through eighth-level text

  2. Save and close the document.

  3. In PowerPoint, choose Open from the Office menu to display the Open window. In the File Type list, choose All Outlines, and double-click the Word file you just created.

  4. On the Home tab in PowerPoint, with the Outline tab displayed in the left pane, make any changes you want to the order of the slides.

  5. With the Slides tab displayed in the left pane, make any changes you want to the formatting of your slides.
