Viewing and Annotating a Scanned Image or a Fax

If you have an electronic image—a scanned document or picture, or a fax saved in the .tif format, for example—you can view it on your screen and can add annotations if you like.

View and Annotate an Image

  1. On the Windows Start menu, click All Programs, click the Microsoft Office folder, click the Microsoft Office Tools folder, and choose Microsoft Office Document Imaging. In the Microsoft Office Document Imaging window that appears, click the Open button, and open your scanned document’s image file.

  2. If the file contains multiple pages, click the page you want to view, and adjust the zoom so that you can easily read the page.

  3. To annotate the image, click any of the annotation tools:

    1. Pen to write or draw by dragging the mouse

    2. Highlighter to highlight text by dragging the mouse

    3. Insert Text Box to create a text box in which you can type notes

    4. Insert Picture to add a picture

  4. To view the page in Reading view, click the Reading View button on the Standard toolbar. Press Esc to exit Reading view.

  5. If you want to save your annotations with the document, choose Options from the Tools menu. On the Annotations tab of the Options dialog box, select this check box to make the annotations permanent, and then click OK.

  6. To save any other changes you’ve made, click the Save button.

Tip

To edit annotations, click the Select Annotations button on the Annotations toolbar, and click the annotation to select it. Once you’ve selected the annotation, you can resize it by dragging a Sizing handle, change its color by choosing Format Ink from the Edit menu, or delete it by pressing the Delete key.
