Using Word to Prepare Publisher Text

Trying to compose a lengthy story from scratch in Publisher would be akin to writing a long speech on index cards: impossible to fit everything on one card, and a frustrating waste of time and energy shuffling the cards around. It’s a bad idea. Here’s a good one: Compose the entire story in Word, using all of Word’s tools, and then put the finished, formatted story into Publisher. Then, if you need to, you can do any small edits in Publisher, or you can return to Word for more substantial edits.

Create Your Story

  1. In Publisher, design and save the type of publication you want, and lay out your page, with an empty text box (or a text box with placeholder text) ready to contain your story.

  2. Right-click the text box, point to Change Text on the shortcut menu, and choose Edit Story In Microsoft Word from the submenu.

  3. In Microsoft Word, delete any existing placeholder text, and write your story, using all the features of Word. Note that some features, such as SmartArt graphics, are not fully supported in Publisher. A SmartArt graphic will be inserted as a picture.

  4. When you’ve finished writing, choose Close & Return To from the Office menu.

  5. In your Publisher publication, modify the dimensions of the text box, and add any formatting you want.

To insert part of an existing Word file as a story, select the text in Word, copy it, and paste it into the Publisher text box. To insert an entire Word file, right-click the text box, point to Change Text on the shortcut menu, and choose Text File from the submenu. Double-click the document file in the Insert Text File dialog box.
