Changing the Location and Type of Saved Files

If you don’t like the locations where Word, Excel, PowerPoint, or Access proposes to store your files, you can change those locations and create the organization that works best for you. And if you’re working with other people who require access to your files in a different version of Office, you can set the default format so that your files are in a format that’s fully compatible with earlier versions of these programs. If you consistently save your Word files in a format other than the Word 2007 format, you should modify the Compatibility settings on the Advanced tab of the Word Options dialog box so that your documents have the correct layout for the format in which you save them.

Change the File Locations and Formats

  1. Click the Office button, and click the program’s Options button on the menu to display the program’s Options dialog box. In Word, Excel, and PowerPoint, click the Save category in the left pane. In Access, click the Popular category.

  2. For each file location you want to change, enter the new location; or click the Browse button (if there is one), locate the destination folder, and click OK.

  3. Select the default format in which you want to save your files.

  4. In Word, to change the location of other types of files, click the Advanced category in the left pane, and, in the General section, click the File Locations button to display the File Locations dialog box.

  5. Click the item whose location you want to change, click Modify, and, in the Modify Location dialog box, locate and select the folder that you’re designating as the new location; click OK.

  6. Specify the location for any other file types, and click OK when you’ve finished.

  7. Click OK to close the program’s Options dialog box.
