Managing Pictures, Videos, and Sound Files

The Microsoft Clip Organizer catalogs and provides easy access to your media files. The Clip Organizer uses the folders on your computer that contain the media as the basis for cataloging the files, treating each folder as a separate collection. You can add custom collections and can rearrange the catalog as you want, after which you’ll be able to access your media files directly from the Clip Art pane in your program.

Organize Your Clips

  1. Start the Microsoft Clip Organizer from the Windows Start menu.

  2. To add picture files and other media files to the Clip Organizer, point to Add Clips To Organizer on the File menu, and choose the way you want to add the clips:

    1. Automatically to have the Clip Organizer search the hard drive or drives for all your picture files and media files

    2. On My Own to manually select all the picture files and media files that you want to add

    3. From Scanner Or Camera to add scanned pictures or to download pictures from your camera

  3. In a collection, right-click a media file, and choose Edit Keywords to display the Keywords dialog box.

  4. Modify the caption and keywords for the current media file, and click Apply. Click Next to preview the next media file in the collection, and make any changes you want to the caption and keywords. Continue going through all the media files in the collection, and click OK when you’ve finished.

  5. Close the Clip Organizer.

  6. In your Office programs, use the Clip Art pane to locate a media file by searching for its keyword or keywords, just as you’d search for a piece of clip art.
