Archiving Policies in Lync and Exchange

There are several levels of polices that come into play to determine whether Lync archiving integration will be enabled for a user. First, there is the Lync archiving configuration, which can be used to enable or disable archiving integration at the global, site, and pool levels. If archiving to Exchange is enabled at one of these levels, several other policies come into play at an individual user level, depending on whether Lync and Exchange are installed in the same Active Directory forest or in separate forests.

When Lync and Exchange are installed in the same forest, and archiving to Exchange has been enabled within Lync, Exchange 2013 in-place hold policies determine whether archive data will be stored in Exchange. In-place hold policies are used to preserve mailbox items indefinitely, for a specific period, or based on a match of query parameters. Authorized users can place a mailbox user on an in-place hold to allow eDiscovery searches to be performed, either to satisfy litigation requirements or for other purposes. When archiving to Exchange is enabled within Lync, and an in-place hold has been placed on a user’s mailbox, the Lync Server 2013 User Replicator will detect this and will enable the user for archiving to Exchange.

When Lync and Exchange are installed in separate forests, and archiving to Exchange has been enabled within Lync, the ExchangeArchivingPolicy parameter applied to the Lync user determines whether archiving to Exchange will be enabled. Four possible values can be configured for the ExchangeArchivingPolicy parameter:

• Uninitialized—Allows the Exchange 2013 in-place hold settings to determine whether archiving to Exchange is enabled.

• UseLyncArchivingPolicy—Specifies that archiving to Lync Server should be used rather than Exchange.

• NoArchiving—Disables archiving for the user, overriding any Lync Server archiving polices assigned to the user.

• ArchivingToExchange—Enables archiving to Exchange 2013, regardless of whether in-place hold settings are assigned to the user’s mailbox.
