Core competency 3: Written communication

Just as a business analyst can use verbal communication to convey ideas, concepts, facts, and opinions to different stakeholders, they can also use written communication to do the same. Often, these two forms of communication are used together to support each other, thereby producing a stronger and more effective message. 

If we consider the basic concept of what written communication is, it is simply the practice of using text, symbols, models (formal or informal), and pictures to communicate information. 

It is important for a business analyst to consider who the audience of their written communication will be and to adapt their writing style to suit that audience. It is important to use terminology that is familiar to the audience and match the format and style of written communication to meet the stakeholder group's preferred way of receiving written communication. 

Let's consider a real-world scenario.

If a business analyst has to provide a summary of key requirements, which requires the resolution to be in a written format, it would be important for the business analyst to consider the stakeholders they will be presenting to. Some important considerations would include the following:

  • Do the stakeholders have previous knowledge of the subject that will be presented to them?
  • What is the level of interest that they have in the requirements? Is it only a general level of interest or do they have a deep interest in the analysis results?
  • How are the requirements usually presented? Are the stakeholders used to review diagrams, presentation-style key points, executive summaries, or a combination of all?
  • Will this audience require any supplementary information to help them digest the written summaries? 

These are only some examples of considerations to keep in mind when a business analyst prepares a written piece of work for a stakeholder audience.
